You will be involved in all aspects of the letting and tenancy management process. This includes:
Handling enquiries from applicants. This involves face-to-face, telephone and email
Entering applicant details onto the property database
Matching applicants with properties
Preparing marketing materials for the office and to take to viewings
Carrying out property viewings during office hours
Sourcing feedback from applicants after viewings
Processing property applications - sending out pre-tenancy agreements either via email or completing with the applicant in the office; taking payments over the phone; overseeing the applicant referencing process
Ensuring that applicants are kept up to date throughout the application process.
Monitoring and replying to emails
Preparing tenancy agreements and all associated paperwork
Accurately setting up tenant information on the property database
Producing property inventories and taking supporting photographs
Arranging and carrying out check in appointments, completing associated documentation
Respond promptly to problems and/or maintenance issues / requests from tenants, instructing contractors where required
Respond promptly to all emails from applicants, tenants and landlords
Carry out property inspections, taking supporting photographs and producing inspection reports for landlords
Arrange and carry out check out appointments, taking supporting photographs and accurately documenting the property condition.
Liaise with contractors to arrange quotes for, and undertake, all required property maintenance
Liaise with software support to resolve IT / technical issues
Produce high quality property marketing materials using photographs and text descriptions for in office and web advertising
Undertake rental valuations for prospective landlords
Produce letting contracts and letting contract renewals for prospective and current landlords
Ensuring landlords are kept up to date with the progress of their property marketing e.g. application process
Regularly providing landlords with a review of their property performance on portals whilst being marketed.
Ensuring landlords are informed of all required maintenance and problems with the property, where required.
Target new business and keep a close eye on the local rental market, noticing any changes and recognising opportunities
Involvement in general office duties including the preparation and filing of office and client documentation and undertaking administration tasks for staff members
36 hours - 9.30am - 5pm Monday,Tuesday,Thursday and Friday. Wednesday 9.30 - 1.30 and Saturday 9am - 1pm. Must be able to attend out of hours viewings when required.
The candidate will be working towards an Intermediate Level 2 Residential Property in Lettings & Management Framework. The qualification also consists of Level 1 Functional Skills in Maths, English and ICT (if required).
The qualification will be achieved through work based evidence throughout.
